Print environment optimisation is a process in which local printers are replaced with network printers. The process allows for a major reduction in the number of pages and increased savings in operation, services and personnel costs. Print Solution Monitoring
When the real needs of a print environment have been identified, we recommend installing such software components that are provided by the SafeQ system to enable comprehensive print environment monitoring. The entire reprographic output on local and network printers is thus monitored. Users also have the option to monitor copies made on network copiers.
The print environment monitoring installation does not increase the client's hardware demands in any way, and all software components are generally included in the supply of the service. The SafeQ system has been developed in JAVA, so that it can be run using both Microsoft Windows and Linux operation systems.
Print Cost Accounting
When using components needed for print environment monitoring, you can do additional work with the data for cost accounting. With each job, the system very consistently records specific information on the job type (document format, type etc.) and the ID of user for whom the particular document is printed. From this data, you can create outputs for a specific period for use in cost accounting to users, groups, cost centres etc. A detailed system configuration even enables entering different cost information on printed pages with respect to the job type (A3, A4), print type (BW/colour) and/or actual page coverage with ink or toner. The print cost monitoring/accounting system can also be integrated into the client's current systems, if desired. In this case, the integration is done as an additional service based on a demands analysis.
Print Environment Audit and Analysis
Another step in the print environment functional monitoring is the production of manager outputs / views to be used in the final decision whether to optimise the print environment or not. Standard outputs include information on the number of printed pages divided into users, departments, devices etc. with the option of defining the time frame, document type, format and/or print type. Furthermore, a detailed audit of devices in use can be done. Such an audit investigates the lifetime of such devices and services provided for them (warranty and after-warranty service), while also determining and describing the configuration of individual devices and configuration of related parts of the infrastructure. These services can also include a collection of client demands on how the print output and/or electronic documents shall be secured (unauthorised print, sensitive data etc).
