Access any prints in your office smoothly and swiftly

You and your employees would definitely see a huge improvement in your working processes if you did not need to decide in advance which printer to use and then have to search for printed documents in huge piles of paper. With YSoft SafeQ, it’s possible! In fact, YSoft SafeQ not only saves you a lot of time but also eliminates security issues for documents during the printing workflow.

Because print jobs are sent to a YSoft SafeQ server and not to a specific printer, print jobs can ”follow” users to any printing device within the YSoft SafeQ network. This function is called ”Follow-me”.

The YSoft SafeQ Follow-me feature provides user convenience and document security for all printing operations. When employees send print jobs, they can use any convenient, available MFP in your company to print the job—but only after first using their employee ID card or PIN to identify themselves at the MFP. Documents are not printed until rightful ownership is authenticated, and printed documents are not left waiting at the MFP to be picked up.

 

Use one ID card for printing and authorization

Scan with one click and send the resulting scan to an e-mail inbox or a folder

How often do you and your employees feel nerve-wracked because you spend a lot of time walking between computer and scanner and struggling with complicated MFP scanning software?

The Scan Management feature of YSoft SafeQ makes scanning simple, convenient and quick. After a user swipes an ID card at an MFP, the system automatically emails scanned documents to the user’s inbox or stores them in a dedicated home folder – all with a single click.

And because every scan is linked to the person who made it, document security is improved. In addition, YSoft SafeQ can automatically add the user’s digital signature to ensure full data security.

 

Share your print jobs with any authorized user

Every business has many types of internal activities across different departments: Finance, Marketing, Sales, etc.. You frequently need to define rights and responsibilities for completely different tasks, teams, and individual employees.

The YSoft SafeQ feature “Shared queues” allows users to send print jobs to, for example, a departmental print queue. These print jobs can be released —at any convenient MFP or network printer —by anyone within the department who has permission to do so and is accounted for by the user who physically releases the print job. Shared queues also make common documents quickly accessible to all members of a group who are working on the same project.

 

Enable reprinting frequently printed documents

YSoft SafeQ provides additional features  that reduce the amount of time you and your employees spend waiting at printers and also to help you perform printing and copying operations faster.

You and your employees can use the YSoft SafeQ Favorite Jobs feature to create a list of frequently used print jobs such as expense forms, holiday request forms, or events calendars. These jobs will always be available from the user’s Favorite Jobs folder at the terminal, which eliminates the need for users to re-send jobs to the printer from their workstations. Once printed, YSoft SafeQ records all information about the job for reporting purposes.

 

Print, copy, and scan without fail

To ensure maximum uptime for your print environment, you must always be sure to have a secure backup system. Without an effective backup system, your working process can come to a halt. A broken print system has a direct, negative influence on employees’ productivity.

YSoft SafeQ products support server clustering at the application level, independently of the operating system (Linux or Windows). If the company print server fails, another running server immediately and completely automatically takes over the service.
With YSoft SafeQ, you can create server farms consisting of as many as five servers. The cluster provides redundancy, so that even if one server goes down or is offline, the system continues to work normally. And with YSoft SafeQ clustering, the load is distributed across all the servers, ensuring that print services are delivered with maximum efficiency.

 

Monitor and account print operations from a single point

According to CitiGroup research, the average mid-size manufacturing company prints and copies 10,000-30,000 pages monthly; a legal office 40,000; a larger school or hospital 50,000; a bank almost 100,000 and sometimes over one million pages. To decrease printing and reduce print budgets for your business without losing employee productivity, you need to monitor, account and charge per each printer and MFP in your company.

For organizations with multiple sites or branches, YSoft SafeQ offers central reporting and administration. All data about each print job printed anywhere within the organization are collected on one central server, which provides comprehensive reports about the entire printing environment. Administration and management of the whole system can be done from one single location.

YSoft SafeQ can analyze and audit print activity for individual print jobs, providing information such as a preview of the first page, the name of the print job, the date of job acceptance, and when the job was printed, as well as the number of pages printed and the page coverage. You can schedule reports to be automatically sent to your inbox or designated folder and output them in a variety of file formats (html, xls, xml, csv).
