• YSoft SafeQ user verification together with central accounting enables you to bill individuals or projects for print, copy and scan jobs.

Linking all operations with specific  users

YSoft SafeQ empowers your employees to make responsible, cost-saving decisions about what they print and copy, how much they print and copy, and which MFPs they use, because it tracks every print, copy, and scan and links it to the associated user. YSoft SafeQ records this information in a database where it becomes instantly available to managers and IT staff.

And the YSoft SafeQ Secure Print Queues feature blocks all jobs sent to print until the user authenticates at the printer. After authentication, users can print all their waiting jobs or can choose to print only specific jobs. Because print jobs are sent to a YSoft SafeQ server and not to a specific printer, print jobs can “follow” users to any printer within the YSoft SafeQ network. This is the Follow-me function.

Enabling you to specify rights for different users

YSoft SafeQ tracks and accounts printing and copying costs automatically, by user, cost center, project, printer and location (such as a branch office of a large enterprise). Each user is a member of one accounting center, and can also be a member of one or more groups.

Rights management is based on a set of rules that restrict specific functions according to predefined conditions such as the number of pages per job, the user’s role and/or the particular device. These rules enable administrators to quickly set periodic quotas that restrict printing/ copying and/or the number of colour prints that can be made and to force duplex and black-and-white printing.

Within these rules, administrators can also set different access rights for management or other employees. For example, you can allow management to use any of the printer’s functions and permit your Accounts Department to only copy and print in black-and-white. The ability to manage rights is on-going, enabling you to reduce your printing costs long term.
